Damage Documentation System

Damage happens. Proving it shouldn't be the hard part.

DDS captures the photo, the time, and the location at the moment damage is discovered — then turns it into a claim-ready record your whole operation can see. No paper forms, no photos lost in text threads.

Built for the show floor. Works with no signal — reports queue on the device and send when coverage returns.

CES 2026

Booth N-208 · YRC — PRO 123456789

Reported 3:42 PM · 36.1301, −115.1520

Photos scattered across phones

The proof exists — in a group text, on a supervisor's camera roll, in an email thread. When the claim gets filed weeks later, nobody can find it.

Reports that arrive days later

Damage found Tuesday gets written up Friday. By then the freight has moved twice and the timeline is a matter of opinion.

Claims denied for lack of proof

Without a timestamped record from the moment of discovery, the carrier's version of events wins. Denied claims come straight out of margin.

How it works

Three steps between damage and proof

STEP 1

Capture

The worker photographs the damage, tags the show and booth, and taps Submit. Under a minute, even offline.

STEP 2

Consolidate

The report lands in the dashboard with its photos, timestamp, and location. Managers triage, assign, and comment.

STEP 3

Prove

One click produces a claim packet: facts, evidence pages, and the full chain of custody with photo fingerprints.

What you get

Purpose-built for freight that gets handled hard

Field-proof capture

One screen, three required fields, works with gloves on. A report takes under a minute on a loading dock.

Automatic time and location

Every report is stamped when the worker hits Submit — even if it uploads hours later from better coverage.

Tamper-evident photos

Photos are hashed at upload and never modified. The fingerprint proves the image is the original.

One-click claim packet

A professional PDF with the facts, the photos, and the chain of custody. Ready for the carrier or the adjuster.

Shareable report links

Send a read-only link instead of a zip of photos. Revoke it when the claim closes.

Every site in one dashboard

Reports from every show, terminal, and yard land in one place — filterable, assignable, exportable.

Evidence integrity

A photo in a text thread is a picture. This is evidence.

Every photo submitted through DDS is fingerprinted with a SHA-256 hash the moment it reaches the server, then stored unmodified. The fingerprint travels with the report — on the dashboard, on share links, and on every page of the PDF packet.

Anyone disputing the record can recompute the hash from the file and compare. If a single pixel had changed since upload, the fingerprints would not match. Combined with the automatic timestamp and GPS coordinates, that turns “we think it arrived that way” into a record a claims adjuster can rely on.
